What Is an Invoice?
An invoice is a billing document that records a transaction between a seller and a buyer. It lists the products or services sold, the quantity and price of each line, the total owed, payment terms, and the parties involved. Businesses send invoices to clients to request payment for completed work or delivered goods.
A professional invoice does five things: tells the client what they are paying for, tells them how much, tells them when payment is due, tells them how to pay, and gives both sides a paper trail for accounting and tax purposes. Skip any of those and you end up chasing payment.

10 Sections Every Invoice Should Have
A complete invoice has 10 specific sections. Miss any of them and the client either delays payment, asks follow-up questions, or disputes the amount. Here is what each one is and what to put in it.
Header with the word "Invoice"
A clear heading at the top so the recipient knows immediately what document this is. Not a quote, not a receipt, an invoice. The KeyGrow tool puts this in your brand color.
Unique invoice number
Sequential, never repeated. Match the format your accounting software expects (e.g. 0001 incrementing, or 2026-001 with year prefix). Used for tracking, payment matching, and audits.
Your business details
Legal business name, address, email, phone, and any tax IDs that apply in your country (EIN in the US, VAT ID in the EU, GST/HST in Canada).
Client details
Client business name, contact name, billing address, email. Shipping address if different from billing. Match the exact name on their accounts payable records.
Invoice date and due date
When you issued the invoice and when payment is expected. Payment terms presets (Net 7, Net 15, Net 30, Net 60) auto-calculate the due date based on the issue date.
Description of goods or services
Each line item with a clear description of what was sold or the work performed. Be specific. "Marketing services" is vague; "Q2 2026 PPC campaign management" is clear.
Quantity and rate per line
How many units or hours, and the rate per unit. The tool auto-calculates the line amount (quantity × rate) and the subtotal.
Taxes, discounts, and fees
Tax rate applies to subtotal minus discount, by GAAP convention. Discount can be a percent or flat amount. Shipping is added on top. All three calculate automatically.
Total and balance due
Total = subtotal − discount + tax + shipping. If a partial payment has been made, show Amount Paid and Balance Due. Total in the local currency of the client (or the contract currency).
Payment instructions and terms
How the client should pay: bank transfer details, payment links, accepted card types, etc. Plus late fees, refund policy, and any other terms. Put this in the Notes and Terms fields.
Payment Terms: Net 7 vs Net 30 vs Due on Receipt
Payment terms tell the client when payment is expected. The tool ships with presets for the common ones. Here is when to use each.

Pro tip: shorter payment terms get paid faster on average. The trick is matching the term to the client. A Net 7 invoice to a Fortune 500 will sit in their AP queue for 45 days regardless. A Net 30 to a small business gets paid in week 1 if they pay invoices on receipt. Know your client.

The logo is stored as a base64 data URL in your browser's localStorage along with the rest of the draft. To remove it, click Remove next to the upload button.

Yes. Six color themes: Black, Purple, Blue, Green, Red, and Orange. Click a color swatch in the toolbar and the invoice header, table headers, and total accents all update instantly to match. Color choice saves to your draft. Most service businesses use Black or their brand color; product businesses sometimes use a brighter color to feel approachable.
The Payment Terms dropdown has presets: Due on Receipt, Net 7, Net 15, Net 30, Net 45, Net 60, and Custom. Pick one and the Due Date field auto-calculates based on the invoice date plus the term days. For example, an invoice dated June 1 with Net 30 gets a Due Date of July 1. Pick Custom to set a due date manually.
Tax is calculated on subtotal minus discount (GAAP convention). So if your subtotal is $1,000 and you give a 10% discount, the discount is $100, and the tax (say 8.875%) is calculated on $900, giving $79.88. Total = $900 + $79.88 + shipping. Discount can be a percent or a flat amount in your currency. Click the % or currency symbol next to the Discount field to switch between the two.
Yes. Click "+ Add line item" to add as many lines as you need. Each line has description, quantity, and rate fields. The line amount (qty × rate) calculates automatically. To remove a line, click the × on the right side. The tool keeps at least one line item visible at all times so you cannot accidentally delete everything.
Yes. Enter the Amount Paid below the line items. The invoice shows the original Total, the Amount Paid (as a deduction), and the Balance Due. Useful for invoicing the second half of a deposit-and-final-payment job, or for tracking ongoing accounts. The Balance Due appears in your brand color so the client knows what is still owed.
Yes. The entire invoice (currency, color, logo, all fields, line items, totals) auto-saves to your browser's localStorage every time you make a change. When you come back, the tool restores the last state automatically. To start fresh, click the Clear button in the toolbar. Note: drafts are tied to the browser and device, so they do not sync across machines.
No. The tool generates a PDF locally. You attach it to your own email client and send from there.
