Website design for accounting firms built around why people call

KeyGrow offers website design for accounting firms that want more of the right new clients. People tend to look for an accountant after something goes wrong, like an IRS letter or a bookkeeper who quit. We build pages for those moments and explain how switching firms works. Client files go through your secure portal, never a contact form. Most sites launch in six to eight weeks.

  • Pages for real problemsVisitors see their own situation, such as a notice or messy books, before they see your service list.
  • Switching made clearA plain page on how a client moves to your firm, even in the middle of the year.
  • Files sent the safe wayUpload buttons open your client portal, so tax files stay out of email and contact forms.
  • Fewer wrong-fit callsClear words on who you serve and how you charge, so poor fits can rule themselves out.

Why KeyGrow

Why accounting firms choose KeyGrow

Our first question is about your inbox: what made your last few new clients reach out?

Think about the last ten people who called your firm for the first time. Odds are, something pushed each of them. A notice came in the mail, a bookkeeper walked out, or the business grew past what a spreadsheet could handle.

Your site probably lists tax, audit and advisory. Their search says something like "letter from the IRS about my return." So we plan pages around those reasons, in the words people type. Each page says what to do first, what to send you and how soon you reply.

We also write the page many firms skip: how switching works. The worry about moving the books keeps some owners stuck with a firm they have outgrown. A short list of steps, with what you request from the old firm, takes most of that worry away.

Finance work in our portfolio

A mortgage client, Qualify Before You Buy, lost visitors at one long form. Five short steps replaced it, and the conversion rate rose 85% in 4 weeks.

Plain words, written for you

Every plan includes copywriting. We write so a worried owner understands each page on the first read.

Sized to your practice

A solo tax office rarely needs a big site. If six pages cover your fees, your switching page and your main problems, you pay $1,400.

Help after launch

We fix bugs free for 30 days. After that, your team can change fees, dates and bios on its own.

Facts that shape website design for accounting firms

Each fact below comes from an IRS source. Next to it is what we change on your site because of it. None of this is legal advice.

Letters start the search

In fiscal year 2025, the IRS sent 951,789 math error notices on 2024 tax returns alone.

What it means for your siteA letter like that sends people looking for help. We give it its own page: what to send you, how fast you reply and where to upload the notice.

Security plans are the law

Federal law requires tax and accounting professionals to keep a written information security plan. Under the FTC Safeguards Rule, covered firms must also report certain security events that affect 500 or more people to the FTC. The deadline is generally 30 days after discovery (IRS, August 2026).

What it means for your siteYour site should collect as little as it can. Forms ask for contact details only, and every file goes through your secure portal.

Published fees stick

Treasury Circular 230 lets tax practitioners publish fixed fees, hourly rates, fee ranges and a consultation fee. It also says you may charge no more than a published rate for at least 30 calendar days after you last published it.

What it means for your siteWe put your prices on one fees page you can edit, with the date they last changed. A price change never means hunting through old pages.

Titles have set wording

Circular 230 also says enrolled agents may not use the word "certified" or suggest they work for the IRS. It offers wording such as "enrolled to practice before the Internal Revenue Service."

What it means for your siteTeam bios show each real credential in words the rule accepts, next to the work each person handles.

What you get

What we build into an accounting firm site

Every item maps to a question your inquiries already ask.

Reason-to-call pages

A page for each common trigger, like an IRS notice, a late filing or a missing bookkeeper. Each one says what to do today.

A switching page

The steps to move a client to your firm, what you collect from the old firm and how long it takes.

Secure upload links

Buttons that open your client portal wherever a page asks for files. Contact forms ask for a name, an email and a short note.

A fees page you control

Fixed fees, hourly rates or ranges in one spot you can edit, with the date your prices last changed.

Bios with real credentials

Each person's actual title, from CPA to enrolled agent, plus the work they handle day to day.

Yearly date updates

Short pages on filing dates and extensions, set up so you can refresh them each year in minutes.

How it works

How we plan and build your firm's new site

Your recent inquiries come first. They tell us which pages to write.

Want to plan ahead? How we would vet a web design agency

  1. First week

    Sort your inquiries

You share a few months of first emails or call notes, with names removed. We group them by the reason people reached out.

  2. Week 2

    Write the pages

We draft the problem pages, the switching page and your fees page. You check every fact before design starts.

  3. Weeks 3 to 4

    Design two pages first

You see the home page and one problem page. Once those feel right, the rest of the site follows their look.

  4. Weeks 5 to 7

    Build and connect

We build on WordPress, add your portal links and test each form on phones and laptops.

  5. Week 8

    Launch and train

On launch day your staff learns to change fees, dates and bios. For 30 days after, any bug is ours to fix at no cost.

Checklist

What your site should answer before the first call

Run your current site through this list. Each line is a question a new client brings with them.

  • Is my problem here?Name the problems you solve, like a notice, back taxes or messy books, so visitors spot theirs fast.
  • Do you take clients like me?Say the size and type of client you serve. It saves partner time on calls that go nowhere.
  • Can I switch mid-year?Show the steps, what you get from the old firm and what the client needs to do.
  • Where do my files go?One clear link to your portal on every page that asks for documents.
  • Roughly what will it cost?A fixed fee, an hourly rate or a range. Even a starting point helps people decide to call.
  • Who will I talk to?Name the person who answers day-to-day questions. It is often someone other than the partner in the photo.
  • What dates are coming?Filing deadlines and extension dates, kept current each year.
Plans and pricing

What a new accounting site costs with us

You pay once, and the price covers the design, the writing and a WordPress build. A one-office practice usually fits the $1,400 plan. Its six pages hold a home page, your fees, the switching page and a few problem pages. Want a page for every reason clients call, or one per partner? That takes more room, so you move to bigger sites at $2,800.

FAQ

Questions about website design for accounting firms

What partners ask once they see their inquiries sorted by reason. Still curious? Email sales@keygrow.co.

Lead with the problems, then name the service that fixes each one. Someone holding an IRS notice does not know whether they need "representation" or "resolution." They know a letter came, so the heading should say that.

Yes, if you want clients who already have an accountant. Fear of moving the books mid-year keeps people where they are. A page with the steps, the timing and what you request from the old firm answers that before the first call.

Yes, through your secure portal. We add upload buttons that open the portal you already use, so returns and statements skip email and contact forms. The site itself only collects a name, contact details and a short note.

We think a starting fee or a range beats silence. A visitor who can see roughly what a return or a month of bookkeeping costs can judge the fit before calling. Keep the numbers on one page, so a price change takes minutes.

Start with what the reader should do today: keep the letter, note the reply date and send you a copy. Then say which notices you handle and how fast you respond. End with one upload button.

Usually, yes. A business owner with payroll trouble and a retiree with one return want different things. Separate pages let each one find their situation fast, and they show who you serve.

Yes. We link to the portal you already use instead of replacing it. Its login and upload links sit in the menu and on every page that asks for documents.

Right after tax season, if you can. Most builds take six to eight weeks, and your team needs time to review pages. Starting in late spring gives you a finished site well before the January rush.

Up to six pages costs $1,400, writing included, and that is often enough for a one-office practice. A page for each service, partner or office calls for bigger sites at $2,800. A firm big enough to need 30 or more pages pays $5,600.

Yes. We build on WordPress and train your team before launch. Updates like a new deadline or a new hire take a few minutes and need no help from us.
